Staffing, productivity, and workflow
Managers translate workload into staffing. One full-time equivalent (FTE) equals 2,080 paid hours per year (40 hours × 52 weeks), though productive hours are lower once paid time off and orientation are removed. Productivity standards (for example, records coded per hour) let managers set expectations, benchmark against peers, and justify staffing requests. Understanding the difference between a policy (the overall rule — the what and why) and a procedure (the step-by-step how) keeps operations consistent and auditable.
Performance improvement and change
HIM leaders use structured quality-improvement methods. The PDSA cycle — Plan, Do, Study, Act — supports rapid, small-scale testing of changes, with 'Study' emphasizing analysis of results before spreading a change. Related tools include root-cause analysis, flowcharts, Pareto charts, and benchmarking. Effective leaders also manage change deliberately — communicating the reason for change, training staff, and reinforcing new behavior — because even good process improvements fail without adoption.
